GDPR Policy

This GDPR Data Protection Policy outlines how Chris G Smith Photography collects, uses, stores, and protects personal data in compliance with the General Data Protection Regulation (GDPR).

Data Collection

Chris G Smith Photography collects the following personal data from workshop participants:

  • Name: Required for addressing participants correctly and (future identification of images and negs used in advertising, giving credit)

  • Date of Birth: Required to ensure participants are over 18 years of age.

  • Email Address: Used for communication, sending documents, and images.

  • Phone Number: Used as a communication backup.

  • Home Address: Required for sending negatives once scanned.

  • Medical Conditions: Optional, but participants may choose to provide this information if they believe it's necessary for workshop facilitators to be aware of during the event.

 

Data Security and Storage

All collected data is stored securely on an external hard drive.

The external hard drive is password protected, and the data is encrypted to prevent unauthorised access. When not in use, the external hard drive is kept locked away in a secure location.

All paper documentation containing personal information will be secured in a locked filing system.

 

Data Retention

Names and email addresses will be retained for as long as images are stored (up to 5 years), this is to ensure correct credit is given if any images are used for publication. All other personal data collected from participants is retained for a maximum of 30 days, unless participants explicitly consent to be contacted for future workshops.

If participants opt-in to be contacted for future workshops, their personal data may be retained for longer periods, as necessary.

 

Data Usage

Personal data collected from participants is used for workshop-related purposes[CS1] , such as communication, document sharing, and addressing any medical concerns during the workshop. Additionally, names of participants will be used to credit their images if used in any publications.

Chris G Smith Photography does not share personal data with third parties without explicit consent from the participants, unless required by law.

 

Participant Rights

Participants have the right to access, update, or request deletion of their personal data held by Chris G Smith Photography.

Participants also have the right to withdraw consent for future communications or data processing at any time.

By booking the workshop, participants consent to the collection, processing, and storage of their personal data as outlined in this policy.
